Privacy Policy

CERTAINTY DBA SUS (“SUS,” “we,” “us” or “our”) cares deeply about privacy and transparency.  This Privacy Policy explains how we collect, use, and disclose information relating to the services we offer. 

 

ARTICLE I - INFORMATION WE COLLECT 

We collect information you provide directly during use of our “SUPPORT (S)US” services. This may  include your phone number, IP address, name, location, and any other information you choose to  provide. 

If you contact us by phone or online chat, we receive usage data such as your IP address. For text  services, we receive your phone number.  

We may also collect information you submit in the course of our services, such as gender identity,  sexual orientation, race, disabilities, and medical, education, and employment information. 

We do not intentionally collect information from children under 13 without parental consent. 

 

ARTICLE II - HOW WE USE INFORMATION 

We use your information to provide donation support services to you such as processing donation  transactions while providing tax-exempt certificates and receipts. We may also use it for training,  quality assurance, improving our services, innovation efforts, research, and advocacy. 

 

ARTICLE III - HOW INFORMATION MAY BE SHARED  

We do not share your personal information except in limited circumstances, which are described in our  Privacy Policy. For example, we may involve emergency services if we believe you are at imminent  risk of harming yourself or others. 

We may share aggregated, non-identifiable information with partners to conduct research, inform  innovation, and for advocacy and awareness purposes. 

 

ARTICLE IV - SECURITY 

We take precautions to protect your information. However, no method of electronic transmission or  storage is 100% secure. We cannot guarantee absolute security. 

 

ARTICLE V - YOUR CHOICES 

You may request access to information we hold about you and may request corrections. You may also  request that we cease using your information. However, we may need to retain and use information as  permitted by law.

ARTICLE VII - RETENTION OF DONATION INFORMATION 

As a 501(c)(3) nonprofit organization, SUS is required to substantiate donations received and keep thorough donation records for IRS purposes. Donation records may include personal information such as name, contact information, and donation amounts in order to retain evidence of tax-deductible donations.  

We are required by the IRS to retain donation records and substantiation documents for a minimum of three years after the date the original tax return was filed in order to support our tax-exempt status. In some cases, we may be required to retain these donation records for up to seven years.  

Even if you request deletion of your personal information, we may be required to retain donation information containing personal data for IRS purposes. However, we do restrict internal access to donor information and use donor data only on a need-to-know basis to fulfill our IRS obligations. You may request anonymization of any public-facing listings we publish recognizing donors. 

This policy ensures we meet requirements for documenting charitable contributions as a 501(c)(3) nonprofit. However, we aim to balance IRS requirements with minimizing use of personal information. Please contact us with any questions regarding retention or use of your donor information.

ARTICLE IX - CHANGES TO THE PRIVACY POLICY 

We may update this Privacy Policy from time to time. If we make material changes, we will notify you and may also post an updated version online. Your continued use of our services after any changes affirms your consent.
